Executive Coordinator - H&CS Practice

Summary 
The Health & Community Services Practice Executive Coordinator role is primarily responsible for supporting the Practice Lead who oversees the H&CS Practice. This is both an administrative and client-facing role. The H&CS Practice Executive Coordinator role reports directly to the Practice Lead and matrixes to the Executive Coordinator Manager. 

Responsibilities include, but are not limited to: 

  • Manage the Practice Lead’s Calendar (blocked times, travel, personal, double bookings, etc.) and communicate to team when rescheduling is needed 
  • Schedule and coordinate meetings between HEA and clients 
  • Schedule and coordinate HEA internal team meetings (PDP, BD/Prospect meetings, business plan meetings, budget review meetings, etc.) 
  • Prepare agendas for and minutes from meetings organized by the Practice Lead 
  • Book and coordinate travel when needed 
  • Schedule and coordinate client check in meetings  
  • Schedule and coordinate team check in meetings 
  • Pull together notes, documents, and other information required for Practice Lead meetings 
  • Attend weekly Resource Call Meeting, capture meeting minutes and action items and distribute  
  • Participate in and provide support regarding committee engagements and projects as assigned by the Practice Lead 
  • Schedule Variable Comp Reviews for Practice Team Members  
  • Schedule quarterly practice meetings  
  • Schedule quarterly prep sessions for the practice meeting  
  • Schedule and coordinate annual methodology review sessions  
  • Create new client Teams sites  
  • Review Proposals and Agreements; initiate DocuSign 
  • Proof work product from practice team  

Required Skills 

  • 3+ years of project coordination experience, preferably in a professional services environment 
  • Office Suite (Word, Outlook, Excel, PowerPoint) 
  • Strong verbal and written communication skills 
  • Prior experience in the usage of any or all of the following business tools are preferred 
    • Microsoft Teams 
    • SharePoint 
    • Smartsheet 
    • Kantata 
    • SurveyMonkey 
    • HubSpot
