Executive Assistant to the Chief Information Officer

Summary:
Oversees all administrative functions of the Chief Information Officer. Serves as the key administrator overseeing daily workflow, as well the needs of the IT department. Represents the CIO as the close right hand person when communicating both internally and externally with colleagues and other stakeholders.
 
Essential Duties and Responsibilities:
  • Oversee Office of the CIO: maintain the daily schedule, review and prioritize mail, greet guests, answer phone lines
  • Manage PCard purchases and bank reconciliation through approving the use of the organization’s procurement credit card and reconciling monthly bills.
  • Oversee Enterprise Technology Services ( ETS) communications in sending out campus-wide and internal messages
  • Coordinate technology needs for events such as the quarterly open house, internal all hands meetings, and MS University Training
  • Support building management needs such as the scheduling of spaces and service/maintenance tickets
  • Maintain office needs such as ordering departmental supplies and manage financial duties through entering requisitions in Workday for ETS Renewals, ServiceNow, and Canvas
  • Support personnel in entering contingent workers
  • Execute reports such as the weekly leadership status report and format professional reports for presentations and meetings
  • Act as liaison to all levels of internal team members
  • Demonstrate self-awareness, cultural competency and inclusivity, and work with colleagues and stakeholders across diverse cultures and backgrounds.
  • Build strong relationships with colleagues both internal and external to the organization, acting in a friendly and professional manner.
  • Other responsibilities, as required
 
Qualifications: 
  • BA/BS required
  • Minimum of 5 years commensurate experience required, preferably in a position supporting C-level executives
  • Experience in higher education preferred
  • Experienced professional with a strong work ethic and drive to succeed
  • Effective communicator with excellent written and verbal communication skills
  • Excellent organizational, planning, research, and analytical skills
  • Self-motivated, able to work independently and a desire to take on an increasing level of responsibility
  • Operate with discretion and maintain strict confidences
  • Able to prioritize and be responsive in a fast-paced environment with concurring deadlines
  • Committed to inclusion and belonging
  • Skilled in Microsoft Office Suite and virtual meeting tools including Zoom and Microsoft Teams
  • Enthusiastic and energetic around supporting the mission and values of Howard University
